[September NPUG] Harnessing The Power of FormAssembly to Streamline Volunteer Onboarding

Volunteers can be integral to an organization's mission, but onboarding new volunteers is often time-consuming for both the volunteer and organization staff. Reading Partners will share how they streamlined the onboarding process by utilizing one dynamic FormAssembly form and Salesforce lightning pages in concert, simplifying the process for both volunteers and the Salesforce users managing them.

Volunteers are often an integral part of extending an organization’s mission to its beneficiaries, and it can take significant effort from both the volunteer and organization staff to get onboarded, oriented, and cleared before getting out into the field. 

Reading Partners is a national nonprofit that helps children become lifelong readers by empowering communities to provide individualized instruction with measurable results. Reading Partners engage volunteer reading partners to work one-on-one with students who struggle with reading. Marya Carr and Tara Charles will demonstrates how they streamlined their onboarding process using FormAssembly as a volunteer “portal” while customized salesforce lightning pages guide organization staff. 

Relying on the FormAssembly “prefill” feature, Reading Partners is able to query data across multiple Salesforce objects in order to populate and control the form including:

  • Orientation shifts available for volunteer registration
  • Confirmed volunteer orientation details after registering
  • Status of various clearance steps (e.g. a background check)

Reading partners harnessed the power of Salesforce formula fields to manage some of the more complicated data combinations on the Salesforce side, which also allowed for improved form behavior transparency for Salesforce users.

By utilizing just one dynamic, prefilled FormAssembly form for all onboarding stages, the process is simplified for both volunteers and the Salesforce users managing those volunteers.
